How to Read a Switchgear Quotation: Where Can Hidden Costs Hide?

When you receive quotations from several switchgear suppliers, the first thing you may look at is the Total Price.

However, for switchgear, the lowest price does not always mean the lowest actual cost. Different configurations, component brands, and supply scopes can result in significant price differences.

So, what should you check before comparing quotations?

1. Check What Is Included

Do not compare prices based only on the product name.

For example, one supplier may include the circuit breaker, CT/PT, protection relay, and accessories, while another supplier may quote only the switchgear cabinet and circuit breaker.

Check whether the quotation includes:

• Circuit breaker

• CT/PT

• Protection relay

• Busbar and accessories

• Spare parts

• Technical documents

• Test reports

Different supply scopes mean the total prices cannot be directly compared.

2. Check Component Brands and Models

If a quotation only says:

you still need more information.

Check the brand, model, rated voltage, rated current, breaking capacity, and whether it is fixed or withdrawable type.

Different component brands and specifications can have a significant impact on the final price.

Also pay attention to terms such as “Equivalent” or “As per standard.” Ask the supplier to specify the actual brand and model whenever possible.

3. Pay Attention to “Optional” and “Excluded”

Some important information may appear under:

A configuration that is not included in the initial quotation may become an additional cost later.

If these specifications are different, the products should not be compared by price alone.

5. Check Trade Terms and Delivery Conditions

Finally, check:

• EXW / FOB / CIF

• Packing

• Freight

• Delivery time

• Installation and commissioning

For example, one supplier may offer an EXW price while another offers FOB. The apparent price difference may not come from the switchgear itself.

How Should You Compare Switchgear Quotations?

A simple way is to prepare a quotation comparison sheet covering:

Technical specifications + Component brands + Supply scope + Test documents + Trade terms + Delivery time + Total price

Only when these conditions are reasonably consistent does a price comparison become meaningful.

One simple rule to remember:

Don't just ask, “Which supplier offers the lowest price?” Ask, “What exactly is included in this price?”

A clear and complete switchgear quotation should tell you:

What you are buying, what you are paying for, what is included, what is excluded, and whether there may be additional costs later.
